Etsy Payments, monthly statement
The Etsy monthly statement CSV, column by column
The monthly statement is the one Etsy file that holds every sale, fee, tax, ad charge, refund and deposit for a month. It is also easy to total wrongly: the sale rows include sales tax that isn’t yours, the money columns are text, and deposits hide their amount in the title. Here is what each part means.
Downloading it
- On Etsy.com, open Shop Manager, then Finances, then Monthly statements.
- Select View all monthly statements, choose the year and month, and select Generate CSV.
- Etsy emails you when the file is ready. Select Take me to download, then Download CSV. The file is named like
etsy_statement_2025_1.csv(year, then month).
One file covers one calendar month, so a year is twelve downloads. A UK tax year needs thirteen, because it runs from 6 April to 5 April.
The columns

The row types
Titles below are as they appear in real statements. Credits use the same wording with “Credit for” in front and a positive amount.

One order, row by row
A made-up order: a $30 mug with $5 shipping to a buyer in a state where Etsy collects 8% sales tax. The statement shows it like this (newest rows first in the real file):

The buyer paid $37.80. Of that, $2.80 is sales tax that Etsy keeps back and remits, so your sale is $35.00 ($30 item plus $5 shipping). The fees come to $3.86, and $31.14 reaches your balance. Adding up only the Sale rows would overstate your sales by every cent of tax Etsy collected.
Why spreadsheet totals go wrong
- The money columns are text. Values carry the currency sign (
$6.78,-€0.17) and empty cells are--, so a plain SUM often returns zero until every cell is converted. - Sale includes tax. Subtract the “Sales tax paid by buyer” rows to get your sales, and add back “Refund to buyer for sales tax” on refunds.
- Deposits have no number in the number columns. The amount sits in the Title, as in “$48.62 sent to your bank account”.
- Identical rows can be real. Two “Listing fee” rows for the same listing on the same day are two charges, so don’t remove duplicates inside one file. Do remove them when you have downloaded the same month twice.
- Opening the file in Excel and saving it again can turn dates into
9/3/2026and amounts into plain numbers or(1.10). Keep the original download. - The header can be longer than the rows. Some 2026 files list eleven headings while most rows carry nine values.
The Etsy tax summary handles all of these: it reads the text amounts, takes the collected tax out of sales, pulls deposit amounts from the titles, counts a month downloaded twice once, and lists any row type it doesn’t recognise instead of guessing.
The other Etsy CSVs
These come from Shop Manager, Settings, Options, Download Data. Pick the CSV type and year; leave the month empty for the whole year.

None of these show listing fees, ads or labels, which is why the monthly statement is the file for the tax return. In order files we checked, the Sales Tax column read 0 on orders whose Order Total included tax that Etsy collected, so take that figure from the statement’s Tax rows.
